Managing vehicles, fleets, drivers and depot contacts
Keep your trucks, trailers, drivers and depot contacts up to date in the customer portal, so every request is quicker and every job is right.
Updated
The details you keep in the customer portal are the details our operators see when your driver calls. Keeping them current saves time on every breakdown, and for members, vehicles that are not on our database may attract the incident fee.
Vehicles
Open Vehicles to see and edit your trucks and trailers. For each vehicle you can record:
- type (truck or trailer) and registration;
- make, model and year;
- VIN or chassis number;
- fleet number, and the fleet it belongs to (account users);
- a default driver;
- notes for the roadside: anything a supplier should know, such as tyre sizes, a spare location or access to the battery isolator.
The year and the notes for the roadside are shown to our team and to the supplier who accepts a job on the vehicle.
Registrations are matched without spaces or dashes, so XB 18 BP and XB18BP are the same vehicle.
Adding a vehicle that is already on file
- Already on your books: the portal tells you and offers to open it.
- On the books of another fleet of your account (fleet users): ask your account’s administrator to move it.
- Retired earlier: it comes back with the new details.
- On another customer’s books: it is not moved. The portal asks you to contact us, and we look into who the vehicle belongs to now.
Retiring a vehicle
Sold or off the road? Retire it. A retired vehicle keeps its job history but is no longer offered on the request form. Nothing is deleted, and you can restore it.
Drivers
Under Drivers & contacts, add your drivers with their mobile number (required), licence number and state, and notes. The mobile must be an Australian or New Zealand mobile, because it is the number texts about a job can go to. Two drivers cannot share a mobile.
Make a driver the default driver of a vehicle, and they are filled in whenever that vehicle is picked on a request.
Depot contacts
Add the people at your depots we may need to reach: name, role, phone, mobile and email (at least one way to reach them), with notes such as opening hours.
Fleets
If your account has fleets (for example a fleet per depot or per client), account users can pick the fleet of each vehicle and move vehicles between fleets. Fleet users see and manage only their own fleet’s records. See Account users and fleet users.
