Invoices, statements, credit notes and paying
Where to find your invoices and statement in the customer portal, what invoice statuses mean, how credit notes work and how to pay.
Updated
Fix My Truck invoices your account for the jobs we coordinate. Members also pay a monthly membership fee per truck by direct debit (see Membership vs casual jobs).
Your invoices
Open Invoices in the customer portal. You can:
- filter by status: outstanding, overdue, paid or cancelled;
- filter by issue date;
- search by invoice number, job number, your order number or a registration billed on the invoice;
- open an invoice and download it as a PDF.
A fleet’s users see the invoices that bill their fleet’s jobs.
What the statuses mean
- Outstanding: issued and not yet fully paid. It shows as overdue once its due date has passed.
- Partly paid: a payment or credit has been applied, and a balance remains.
- Paid: nothing left to pay.
- Cancelled: fully credited; nothing is owed on it.
The due date is the invoice date plus your account’s payment terms. If your account is invoiced by purchase order, we need the order number before a job can be closed, so please give it to us on the call or in the job’s messages.
Credit notes
If an invoice needs correcting after it was issued, we don’t edit it: we issue a credit note against it, for one or more lines or for an amount, with the reason. The invoice’s balance goes down by the credit, and the invoice PDF lists the credit notes applied to it. An invoice credited in full becomes cancelled.
If you have already paid an invoice that is later credited, your account is in credit for that amount and we arrange a refund.
Your statement
The statement in the customer portal lists invoices, credit notes, payments and any opening balance, with what is owed and how overdue it is (not yet due, 1–30, 31–60, 61–90 and over 90 days). Fleets are billed through their account, so the account’s statement covers every fleet.
Paying
Pay each invoice as set out on the invoice, by its due date. Membership fees are collected separately by direct debit.
If an invoice becomes overdue you may receive a reminder email with the invoice attached. If you have a question about an invoice, reply to that email, use the job’s messages, or contact our accounts team at accounts@fixmytruck.com.au.
